Remembering the little details that make a big difference!
After deciding on the big things – location, entertainment and food – there are a lot of little details that make a BIG difference in the success of your event.
The don’t-forget-the-details checklist:
Blueprint & Timeline.
Make sure to work with your vendors to create a site map so the space is well utilized and easily accessible for guests to maneuver. Create a timeline of food, entertainment, raffles, speeches, races, etc. so that guests don’t miss the thing they were most looking forward to.
Tents, tables, chairs, décor, concessions… go through every moment of your event in your mind and make a list of every item you will need to make it enjoyable for everyone.
Consider hiring a band or DJ for this year’s company picnic! A small band set up near the refreshment tables and some seating can create an enjoyable place to sit and relax. Or, hire a DJ and set up a dance floor!
Giveaways, Recognition or Awards.
Do you want to include party favors, raffles or other fun giveaways at your event? What about taking time to acknowledge employees and hand out awards. Gathering prizes or awards might require time for shipping or printing, so don’t put this step off until the last minute.
Capturing the Event.
After all your hard work has paid off and everyone says it was the best company picnic of all time, you and your coworkers might want something to look back on. Consider hiring a photographer or videographer to attend the event and capture all the fun. Renting photo booths or distributing disposable cameras to guests is a great way to capture candid shots.
Details.Yes more details...Portable restrooms, trash cans and removal, will there be water and/power accessibility, first aid station with sunscreen, bug spray, band-aids, and/or EMT on site.
Memories.You have put in all this work to insure a great event, consider some branded take home items like T-shirts, Frisbees, or photo booth photos. Guests will remember the event every time they glance at that picture on the fridge.
